SC holds most function and meeting space in the major hotels located near the convention center. The space is made available to contracted exhibitors through a process that begins in February of the conference year. For companies that also submit a sleeping room block request, we attempt to locate as many of those rooms as possible within the same hotel.

If you’re an exhibitor with a signed contract review the information below.
1) There will be a cancellation fee for function space that is accepted by a company and then not used.
2) We will assign occupancy based on the fire marshal-approved numbers for specific layouts.
SC25 has significantly fewer rooms to allocate than were available for SC24, thus a tiered system based on each exhibitor’s accumulated SC exhibitor priority points will be used to ensure a fair distribution of these rooms by limiting the number of rooms that may be requested.
The assignment of the function space will be made by an authorized SC25 contractor in an iterative process according to each exhibitor’s accumulated SC exhibitor priority points and past history of usage.
Notifications will be sent through the end of May as offers of space are accepted. Once all requests have been processed, SC will release the assignments to the hotels who will then work directly with exhibitors on details and subsequent catering and A/V contracts.
SC25 will make a best effort attempt to meet your priorities for hotel proximity, function space layout/use, and most importantly, occupancy.
There may be a penalty for reserving function space and then not using it. Deadlines and details will be provided to all exhibitors holding signed agreements with SC25.
Cancellation fees for function space will be billed by Hall-Erickson as part of your SC25 account. Cancellation fees are applicable to exhibitors once function space is accepted.
The cancellation of any function space reservation will result in a cancellation fee of $100 per function room per day.
